The Speech Path SLP, PLLC ("The Speech Path," "we," "us," "our") is a pediatric speech and language practice in Williamsville, New York. This policy explains how we collect, use, and protect personal information when you visit thespeechpathbuffalo.com, call or email us, join our waitlist, request a parent guide, subscribe to our newsletter, or buy from our shop.

Information We Collect

Information you give us:

• Consultation requests. Your first and last name, your child's first name and age, your email address and phone number, the general areas of concern you select, any notes you choose to add, and how you heard about us.
• Waitlist form. The information you provide so we can contact you when a spot opens, including your contact details, your child's age, general areas of concern, and scheduling preferences.
• Parent guides and newsletter. Your name, email address, and the guide you request.
• Shop purchases. Your name, email address, and order details. Payments are processed securely by Stripe through our website platform. We don't receive or store your full card number.
• Calls, voicemails, emails, chats, and social media messages. Whatever you share when you reach out to us. We take notes during consultation calls so we can follow up accurately.

Information from others:

• When a pediatrician, another provider, or another family refers you to us, they may share your name and contact information with us.

Information collected automatically:

• Website usage data. Using Google Analytics and similar tools, we collect pages visited, time on site, device and browser type, referring website, and general location (city or region).
• Email activity. Our emails may include technology that tells us whether an email was opened or a link was clicked, which helps us send more useful content.

A Note About Health Information

Our consultation and waitlist forms ask about general areas of concern so we can respond in a helpful way. Please leave detailed medical history, diagnoses, evaluation reports, and other records out of website forms. If you'd like to share more before we talk, you're welcome to call us, and we'll collect the full picture securely during intake.

Once your child is a client, their clinical and billing information is kept in our secure electronic health record system, separate from our website and marketing tools. It's governed by our Notice of Privacy Practices, which we give every family at intake and will gladly send to anyone who asks.

How We Use Your Information

• Deliver parent guides and shop purchases you've requested
• Send speech and language tips, workshop announcements, and practice updates if you've subscribed

• Train our clinicians and support staff, improve our services, and plan educational content, using summaries with names and identifying details removed
• Meet legal and professional obligations

How We Share Your Information

We never sell or rent your personal information, and we never share it with other companies for their own marketing.

We share information only in these cases:

• Our clinicians and support staff. Our SLPs and administrative support may access information they need to serve your family. Everyone who works with us is bound by a confidentiality agreement.
• Service providers that help us run the practice. These include Google Workspace (our business email, phone and voicemail, calendar, forms, and file storage), our website and customer relationship management platform (GoHighLevel), our payment processor (Stripe), our email marketing tools, and our analytics provider. Service providers may use your information only to provide services to us.
• Legal requirements, when the law, a court order, or the need to protect someone's safety requires it.
• Your permission, such as when you ask us to coordinate with your child's pediatrician, school, or another provider.

Reviews and Testimonials

If you post a public review of our practice on Google or another site, we may share it on our website and social media using your initials. If you'd like us to remove a review we've shared, just let us know.

Cookies and Analytics

Our website uses cookies and similar technologies to keep the site working, remember your preferences, and measure traffic through Google Analytics. Form entries aren't sent to Google Analytics. You can manage cookies in your browser settings, and you can opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on. The site works fully with cookies turned off.

Email Communications

You can unsubscribe from newsletters and marketing emails at any time using the link at the bottom of any email. After you unsubscribe, we may still send emails related to an inquiry or purchase you've made.

How We Protect Your Information

We use reasonable administrative, technical, and physical safeguards to protect your information, including access controls, secure platforms, and limiting access to the people who need it to serve your family. Our business email, phone, voicemail, forms, and file storage run through Google Workspace under a business associate agreement, which requires Google to safeguard health-related information. Clinical records are kept in a separate, secure health record system.

No online system is completely secure, so if a breach ever affects your information, we'll notify you as required by law.

How Long We Keep Information

We keep consultation, waitlist, and contact information as long as we need it to respond to you, manage our waitlist, and maintain our business records. We keep newsletter information until you unsubscribe or ask us to remove it. We keep purchase records as long as tax and accounting rules require.

Your Choices and Rights

You can ask us to:

• Tell you what personal information we hold about you
• Correct information that's inaccurate
• Delete your information from our marketing systems
• Stop sending you marketing emails

To make a request, contact us using the information below. We'll respond within 30 days. Some records, such as purchase records, may need to be kept for legal or tax reasons.

Children's Privacy

Our website is for parents, guardians, and caregivers. It isn't directed to children, and we don't knowingly collect personal information directly from children under 13. A child's first name and age come from a parent or guardian so we can tell whether our services may be a good fit. If we learn that a child has given us personal information, we'll delete it.
